How registration information is used

Information collected
The children's registration form collects parent/carer and child identity and contact details, emergency and collection information, booking choices, health, allergy, medication, disability, support and swimming information, permissions, and optional photography and marketing preferences. The separate adult fitness taster form collects participant contact details, age group, an emergency contact, supervising adult details for ages 16–17, optional health and adjustment details, session interests, consent and optional marketing preference.
Adult fitness registration
Adult taster details are used to handle the place request, plan safe participation and contact you about that taster and the regular programme you asked about. Optional health or support details are used with explicit consent for safe delivery. Marketing updates require a separate opt-in. An under-18 participant must attend with a supervising adult.
School booking enquiries
The school enquiry form collects school and staff contact details, the requested package, preferred date, year groups, approximate group size, available space and general delivery goals. We use these details to respond to the request and arrange the booking. Please do not submit identifiable pupil information through this enquiry form.
Why it is used
Information is used to respond to enquiries, administer bookings and payments, plan staffing and reasonable adjustments, manage safe participation and collection, respond to emergencies, meet safeguarding and insurance needs, and—only where separately chosen—send marketing or use images.
Lawful basis
Contract steps and legitimate interests are used for booking administration, service delivery, safeguarding, safety and business records. Legal obligations may apply to safeguarding, health and safety, tax and incident records. Explicit consent is requested for health and support information and for each optional photography or marketing use. Consent can be withdrawn by contacting us; withdrawal does not affect earlier lawful use.
Sharing
Information is limited to authorised coaches or staff who need it. It may be shared with Fairfield Leisure/Places Leisure where necessary for venue safety, ratios or an incident; with emergency services when required; with professional advisers, insurers or authorities where necessary; and with website, form, email and payment providers acting under appropriate arrangements. We do not sell personal data.
Storage and security
Online submissions are processed through the website hosting provider. Access should be restricted to authorised people. Information is retained only as long as needed for delivery, safeguarding, insurance, legal and accounting purposes, then securely deleted or anonymised. Incident or safeguarding material may need longer retention.
Your rights
Depending on the circumstances, you may ask for access, correction, deletion, restriction, objection, portability or withdrawal of consent. You may complain to the UK Information Commissioner's Office at ico.org.uk.
Changes
This notice may be updated when the service, suppliers or legal requirements change. The current version will be published here.
