PARENT INFORMATION
Policies and safe participation
This page explains the main arrangements families need to know. Detailed operating procedures, staff records, risk assessments and incident records are maintained separately because they contain sensitive or security-related information.
Safeguarding and child protection
Children’s welfare comes first. Concerns are listened to, recorded factually and acted on promptly. Staff must maintain professional boundaries and must not have unsupervised contact unless appropriately checked and authorised. The Designated Safeguarding Lead is Louis Hanley. Urgent danger should be reported to 999. Safeguarding concerns may be shared with the police, Kent children’s services or the Local Authority Designated Officer when necessary.
Suitable staff
Coaches are selected for their role and must provide appropriate identity, qualification, safeguarding, suitability and insurance evidence. Roles, supervision and responsibilities are agreed before delivery. Children are not left with unapproved adults.
Health safety and first aid
Venue, activity, transition, boxing, football, swimming and outdoor-space risks are assessed for the actual session. Attendance, medical alerts and emergency contacts are available to authorised staff. Appropriate first-aid provision and equipment must be available. Accidents, incidents and near misses are recorded and reviewed.
Swimming
Swimming requires parent permission and remains subject to Fairfield Leisure rules, lifeguarding and instructor responsibilities, capacity, staffing, ability grouping and safe ratios. Permission does not guarantee a pool place. Children may be placed in a safer group or alternative activity. Headcounts are completed during every transition.
Medical needs and medication
Parents must provide accurate medical, allergy, medication and support information and report changes before attendance. Medication is accepted only under an agreed written arrangement, clearly labelled and with appropriate instructions. Emergency medication must remain accessible to authorised staff.
Arrival collection and missing children
Children must be signed in and released through the agreed collection procedure. Only authorised collectors may collect, using the family password where requested. Parents must notify us of changes. A missing or uncollected child triggers immediate register checks, venue escalation, parent contact and police or safeguarding contact where appropriate. Staff will not take a child home.
Behaviour inclusion and additional needs
Activities are adapted where reasonably possible so children can participate safely and with dignity. Families should disclose helpful support information before attendance. Unsafe behaviour is addressed through prompts, adjustment, parent discussion and an individual plan where appropriate. Suspension or exclusion is used only where safety or serious conduct requires it, after considering reasonable adjustments.
Physical contact
Boxing is non-contact: there is no sparring or deliberate head or body contact. Necessary coaching demonstrations must be explained and observable. Physical intervention is a last resort to prevent injury, serious damage or serious disorder, and every use is recorded, reported and reviewed.
Photography
Photography choices are optional and separate. Parents may choose internal/private use, The Engagement Coach publicity and venue publicity independently. Refusing publicity consent does not affect participation. Pool and venue photography rules always apply.
Complaints
Raise an informal concern with the session lead where appropriate. Formal complaints can be emailed to louispwll@hotmail.com. We aim to acknowledge a formal complaint within three working days and respond within 15 working days. Safeguarding allegations are handled under safeguarding procedures and may be referred externally rather than investigated as an ordinary complaint.
Privacy and records
Registration information is restricted to people who need it for booking, safe delivery, safeguarding or legal records. Health information receives additional protection. Read the full privacy notice and participation terms.
